How to Update PayPal Sales Receipt Mapping in QuickBooks Online

If your PayPal account is connected to QuickBooks Online using PayPal Connect it can download your transactions as sales receipts.

In this tutorial, you’ll learn how to update what income account those sales receipts are mapped to in your QuickBooks account.

Quick Instructions:

Download Statements:

  1. Click Banking in the left side menu, then Banking in the sub-menu
  2. In the box for your PayPal account click the pencil in the upper right corner
  3. Click Edit settings
  4. Click the pencil in the upper right corner
  5. Update mapping by selecting the appropriate account from the drop-down lists
  6. Click Save

Update PayPal Sales Receipt Mapping

When you connect your PayPal account to QuickBooks Online it will automatically create accounts to map your sales, shipping, and discounts to:

  • PayPal Sales
  • PayPal Shipping
  • PayPal Line Discount

You don’t have to use these accounts. You can update the mapping so it links to accounts you already use.

To update this mapping click Banking in the left-side menu then banking in the sub-menu.

On the banking screen click the pencil in the upper right corner of the box for your PayPal account.

Then click Edit settings.

You’ll now see a screen where you can edit the account mapping for your sales receipt.

Under Sales form content it lists what can import on your sales receipts.

  • Sales
  • Shipping
  • Discount

Next to each is the account it’s currently mapped to.

To edit this mapping click the pencil in the upper right corner. The account names will turn into drop-down lists.

Select the accounts you’d like to update the mapping for then click the Save button.

You now know how to update the mapping of your PayPal sales receipts in QuickBooks Online.

  1. How do you match the items in Paypal to the many items (products & services) you have in QBO? This allows you to change one account, but it is critical to categorize all the different types of revenue line items to match what you are selling. Square app allows this.

    1. Hi Melody,

      In bank feeds there is a button in the lower right that says “details”. Click on this and it will allow you to edit the sales receipt to identify which products and services you wish to use.
